Booking terms,
clearly considered.

These terms explain how we confirm and manage your tailor-made safari. Please read them alongside your proposal and invoice; together, they form the basis of your booking with us.

A straightforward commitment

We plan each journey around you, then confirm the arrangements once your deposit is received and the relevant accommodation, transport and services are available. Please contact us before making a payment if anything on your proposal is unclear.

01 Booking & confirmation

A booking request becomes confirmed when we have received the required deposit, issued written confirmation and secured the travel services in your itinerary. Until then, availability and prices may change without notice.

Your confirmation, proposal, invoice and these terms should be read together. Please check traveller names, travel dates, accommodation, flights, routing and included services carefully. Tell us promptly if anything needs correcting.

Who can book: the person making the booking confirms that they are authorised to accept these terms on behalf of everyone named on the itinerary.

02 Payments

Unless your written proposal or invoice states a different supplier requirement, the following payment schedule applies to your safari:

30%Deposit at confirmation

Payable when you approve your itinerary and we proceed to secure the arrangements.

70%Final balance

Payable no later than 30 days before the first day of your safari.

Pay securely online

For card and online payments, use our secure PesaPal payment page. Enter the amount and booking reference exactly as shown on your invoice.

Any card or processing charge shown at checkout is displayed by the payment provider before you submit payment.

Payment instructions for bank transfer or any alternative approved method are provided on your invoice. Payments are treated as received only when cleared in our account or confirmed by the payment provider.

Short-notice bookings: if your departure is within 30 days, the full amount may be required at confirmation. We will state the required amount clearly on your invoice before you pay.

03 Changes & cancellation

Changes requested by you

We will do our best to accommodate changes after confirmation. Changes depend on availability and may affect the price, route, accommodation or flight arrangements. Any additional supplier charges, fare differences or administrative costs will be explained before we make the change.

Cancellation by you

All cancellations must be sent to us in writing. Cancellation charges are calculated using the terms of the hotels, camps, airlines, ground suppliers and other services in your confirmed itinerary, together with any non-refundable costs already incurred.

Your proposal or confirmation will identify any supplier-specific cancellation terms that apply to your journey. We will provide a clear calculation of any refund due after the relevant suppliers have confirmed their position. Payment processing, bank and exchange charges may be non-refundable where charged by third parties.

Changes or cancellation by suppliers

Travel arrangements can occasionally change because of weather, operational requirements, safety conditions, supplier decisions or events outside our reasonable control. If this happens, we will work with you and our suppliers to offer a practical alternative where possible. Any alternative may involve a price difference.

04 Travel preparation

Passports, visas & health

You are responsible for ensuring that every traveller has the required passport validity, visas, entry permissions, vaccinations and health documentation for the countries visited. Requirements can change, so please check the relevant official authorities before travel. We can provide practical planning guidance, but final entry decisions are made by the relevant authorities.

Travel insurance

Comprehensive travel insurance is strongly recommended for every traveller from the time of deposit. Your policy should be suitable for your journey and include medical expenses, emergency evacuation, cancellation, interruption, luggage and personal belongings.

Fitness, accessibility & special requirements

Please tell us about medical needs, mobility requirements, dietary requirements, allergies, celebrations or any other important preferences before confirmation. We will share relevant information with the appropriate suppliers where needed to plan your journey, but cannot guarantee that every request can be met in remote locations.

05 Your journey & our responsibilities

We act as the organiser of the arrangements listed in your confirmed itinerary and work with independent accommodation providers, transport companies, guides, airlines, park authorities and other suppliers. Those suppliers operate their own services and may apply their own conditions.

Safari travel involves natural environments, wildlife, variable weather, remote roads and changing flight schedules. Your guide’s safety instructions and the rules of parks, camps and transport providers must always be followed. We may alter the itinerary where reasonably necessary for safety, operational or conservation reasons.

Prices are based on the services, exchange conditions, taxes, park fees and fuel costs available when your proposal is issued. If a material government levy, park fee, tax, fuel charge, currency movement or supplier cost changes before final payment, we will explain any resulting adjustment as soon as practical.
